Certificate Field Setup and Configuration

Modified on Fri, 23 Apr 2021 at 02:53 PM

The Certificates Module is available to clients on the Elite subscription package.

Issuing of Certificates to students is so easy, but first you need to complete your certificate setup and configuration.

If you are using our Certificate templates as a base, we have added below a guide on what the fields would need to be for you to reference and use as a quick guide.

If you already have certificates designed, just upload these as a .jpg, or .jpeg file, and adjust the fields as necessary. (You cannot use a pdf file - if you only have a pdf file, open the certificate in your pdf application, and "save as" a .jpg or .jpeg file).

Required Document Specifications:

  • File Type: JPG or Jpeg
  • File Size: up to 2.5mb

Recommended Document Specifications:

  • Document Size: A4 - you can upload other sizes however for printing purposes A4 is recommended.
  • Document Orientation: Portrait or Landscape
  • Document Margins: At least 7mm on all sides.
  • Colour: Full Colour - keep in mind the amount of ink used when printing your certificate.

Design Tips:

  • Create A Border: even a basic border makes the certificate more defined.
  • Use your Logo: this will be shared online so being able to see your logo is a great marketing tool.

1. To get to the certificates module, click on the "Configuration" tab.

2. Under "Assessment Levels" click on "Certificates".

3. To add a Certificate, click on "Add Certificate Layout".

4. Enter your certificate name. This would be your level or group name.

5. Once you have saved your certificate layout it will take you back to the main screen. You will then see the certificate you uploaded. To edit your certificate layout fields click on "Edit Fields".

6. Here you can enable what fields "Auto Filled" will display on your certificates and their positioning.

Tick the fields you wish to display. The most common are "StudentFullName", TeacherFullName", "LevelLongName" and "DateIssued". You will then need to position these fields on the certificate to match the file you have uploaded. This may take a few turns to get to how you would like it. (At the end of this article is an example based on our certificate layout).

X (mm) - How far in from the left hand side

Y (mm) - How far down the page

Length (mm) - How wide the field is

Height (mm) -  How far apart the line spacing is

Tip: we suggest making the length of the field as wide as the space/line you have for that field, and then making the position "Centre" - that way, the name/date etc will always appear neatly centred in the space provided.

Tip: If you have a print out of your certificate, measure the areas on paper and then enter them into the fields and adjust as necessary.

Click save.

7. This will take you back to your Certificates Layout page. Click on "View Test PDF" next to your certificate to check the fields are where you want them. If they aren't quite right, repeat step 6 and check the test pdf again. Repeat this until you have the layout correct.

Associating your certificates with each level

After you have completed all of the above for each certificate, you need to link them to your levels so that certificates can be issued.

8. Go to Configuration --> Class Assessment Levels.

For each level that has a certificate, you will need to repeat these steps.

9. Click on the level name or yellow edit folder button next to the level.

10. Click on the drop down menu under the "Certificate Layout" heading to select your certificate. Once selected, click "modify level". This step is crucial - if you do not associate a certificate to a level, you will not be able to issue certificates for level progressions.

Complete these steps for all certificate levels and you are ready to issue certificates.
