You need to set up your Fee Calculation Templates to enable you to do your billing and set up your classes. Fee Calculation Templates are linked to classes so the system knows what to charge and also what group you want to bill when you generate invoices e.g. you may want to bill your "Learn to Swim" by the term, and your "Squads" monthly, or you want to be able to bill for "Holiday Intensives" separately - this is where the Fee Calculation Templates come in.
Follow these steps to set up your Fee Calculation Templates.
1. Go yo your Configuration Tab.
2. Under "Class Setup", click on "Fee Calculation Template".
3. Click "Add Fee Calculation Template"
4. Fill out the fields.
Name your template - this is what will show in your drop down menus to select for your classes setup and when generating invoices.
Learn to Swim
Select your Price set
Class - this means students will be charged the amount in the price matrix per class.
Week - this means students will be charged the amount in the price matrix per week.
Calendar month - this means students will be charged the amount in the price matrix per month.
Term - this means students will be charged the amount in the price matrix per term.
NOTE: Even if you are charging per term, select the class/week option. This means that students will be charged the per class amount each week of the term you have set, rather than that price divided by the number of weeks in the term.
Select your frequency of billing
Flexible Date Range - this is the most common setting, used for most classes
Weekly - not commonly used
Calendar Month - usually used for squads.
Save your template.
You can edit these once created if needed by clicking on the yellow folder "edit" action next to the template name:
