Setting up a Price Level and Price Matrix (lesson pricing)

Your Price Levels control your pricing for your lessons. Setting up your Price Levels from your Configuration screen is a simple process. Each Class must be set up with a Price Level and a Fee Calculation Template to enable billing of lessons. (Refer to: Fee Calculation Templates, How to Create A Class).

Your Price Levels are your default lesson pricing. These must be created to enable you to invoice lessons.

Your Price Matrix is available to use on each Price Level. The Price Matrix gives you the option of creating specific price discounts either for subsequent enrolments for each student, additional student (sibling) discounts, or both. The Price Matrix can be left blank, meaning that each student as well as each enrolment (if more than one) for each student will be charged at the default lesson price.


To create your PRICE LEVELS:

1. Go to Configuration.

2. Click on Price Level.

3. To create a new price level, click on "Add Class Price Structure".

4. Fill out the information for the price level:

a) Give the Price Level a name (e.g. Learn to Swim, Squad, Private lesson etc).

b) Fill out the Default per class amount without a dollar sign (e.g. 20.00).

c) Select your Revenue Type from your dropdown menu (if you need to set your Revenue Types, go back to Configuration > Revenue Types. You can come back and edit this later if needed.).

d) Select your Tax Level (GST or GST Free).

e) "Exclude this Price Level from Enrolment/Student Pricing Calculations" - ticking this box means that if you offer any kind of discounting, this particular enrolment price level will not be included in any discount calculations and will be charged at the default price. Generally, you will leave this box UNTICKED. Only tick if you want it excluded from any discount pricing that you have configured.

f) "Prevent Global Discounts being applied to this Price Level" - ticking this box means that the student enrolment linked to this price level will be excluded from Global (% based) discount pricing (if you have the Global Discount enabled in your configuration). Generally, you will leave this box UNTICKED. Only tick if you want it excluded from Global % discount pricing.

 When finished, click "Add Price Level". This will take you back to your Price Level main screen.

5. From your Price Level screen, you can see all of your Price Levels. 

If you click on the name of the level, you can edit the details you entered in the step above, and you can also put a display order on your price levels so that they appear in the same order each time in your dropdown menus for setting up your Class price levels or selecting a price override for a student.

If you click on "Edit Price Matrix", you can enter your discount pricing (explained further below).

PRICE MATRIX


The Price Matrix can be left blank if you want to charge the default lesson price for each student and each of their enrolments. If you offer subsequent lesson discounts or sibling discounts, you can fill out your Price Matrix for each Price Level that this is offered.


The number of students and the number of enrolments displayed is controlled in your system configuration. To change the number you can see, go to Configuration > System setup > Price Matrix. Enter a number for each. For students, we recommend setting this to 6 to start with, or to the largest family at your centre. For enrolments, this is the maximum number of classes a student can do per week.


To fill out or edit your Price Matrix

1. Go to Configuration.

2. Click on Price Level.

3. Click on the green "Edit Price Matrix" button corresponding to the price level you want to offer discounting.

4. Across the screen from left to right is the number of lesson/class enrolments a student has. From top to bottom are the students. Student 1 Enrolment 1 will be your default lesson price. The amount displayed in the Price Matrix is the Per Lesson price for each enrolment. Fill out your price matrix and click "Save Price Matrix".

In the example shown below, this shows both enrolment and student (sibling) discounts. The charges would be:

Student 1: $20.00 for Enrolment 1 / $15.00 for Enrolment 2 to 9

Student 2: $20.00 for Enrolment 1 / $15.00 for Enrolment 2 to 9

Student 3: $17.50 for Enrolment 1 / $15.00 for Enrolment 2 to 9

Student 4: $15.00 for all enrolments

Student 5: $15.00 for all enrolments

Student 6: No charge for all enrolments


Other examples:

Student (sibling) discounts but no enrolment discounts

In this example, the centre offers a discount per lesson price for each subsequent student in the family, but they do not offer any additional enrolment discounts.

Student 1: $20 per lesson for all enrolments

Student 2: $15 per lesson for all enrolments

Student 3: $10 per lesson for all enrolments

Student 4: $10 per lesson for all enrolments


Enrolment discounts, but no student (sibling) discounts

In this example, the centre offers a discount per lesson price for each subsequent enrolment for a student, but they do not offer any student/sibling discounts.

Student 1: $20.00 Enrolment 1 / $15.00 Enrolment 2 / $10.00 Enrolment 3 / $10.00 Enrolment 4

Student 2: $20.00 Enrolment 1 / $15.00 Enrolment 2 / $10.00 Enrolment 3 / $10.00 Enrolment 4

In this example, the centre offers both a discount per lesson price for each subsequent student in the family, and they also offer additional enrolment discounts per student.
