Dual-Mode Enrolment Cancellation
This sophisticated self-service feature gives families the flexibility to cancel their ongoing enrolments through the SimplyPortal app (customer portal) with two distinct options designed to balance customer convenience with operational requirements.
Two Cancellation Options
You have the flexibility to allow families to either submit a cancellation request or to process a cancellation of enrolment.
1. Request Cancellation (Centre approval required)
This option is ideal for centres requiring manual review of all cancellations. With this configuration enabled:
- Families are able to submit a cancellation request with their preferred last lesson date (within your configurable notice period requirements).
- The request is reviewed by staff and processed.
- The enrolment remains active until the cancellation has been approved and processed by staff.
2. Live Cancellation (Instant processing)
This option is ideal for centres offering full self-service flexibility. With this configuration enabled:
- Families can submit and confirm a cancellation immediately (within your configurable notice period requirements).
- The selected student enrolment ends on the selected date.
- The family receives instant confirmation of the cancellation and billing adjustments to their account.
Key Benefits
- Notice Period Protection: configured notice periods are enforced (e.g. 7 days, 14 days, 30 days)
- Smart Date Selection: only eligible cancellation date options are displayed based on the configured notice requirements
- Transparent Process: clear confirmation screens show family's exactly what is being cancelled and when it takes effect.
- Automatic Billing: Credits* to the family account (if applicable) are processed automatically.
- Audit Trail: Centre can access a complete record of cancellation reasons and dates.
*Credits are not refunds. Credits are adjustments to the family account if there are any remaining lessons from their enrolment cancellation. Any refunds would need to be managed by the centre.
