Minutes before Class Time Non Attend allowed (through customer portal)

Configuration -> System Setup -> Customer Portal

 

These settings apply to notifications of non-attendance through the customer portal only.

 

SimplySwim allows you to have two different notification periods for student absences through your customer portal: 

- one to award a make-up (if the non-attendance reason is configured with a make-up) and 

- one between that cut-off time and the class start time. 

The purpose of this is to free up your time in not having to field those last minute phone calls to say they can't make their lesson in between the make-up notification cut off time and the Class Start time.


 

Minutes before Class Time Non Attend allowed

This setting relates to the number of minutes before a Class Start Time that families can notify you of a student absence but will not be awarded a make-up (next configuration option). 


As soon as this time setting is reached, the "Change" button is not available in the Customer Portal for families to mark an absence. A blank field or a setting of 0 will allow non-attendance through the customer portal up to the Class Start Time without awarding a make-up regardless of the non-attendance reason used (if this is a shorter time period than your make-up settings in the next option). 




Minutes before Class Time to Block Makeup Allowed for Non Attend (still allows Non-Attend, just prevent a Makeup being given.)

This setting relates to the number of minutes before a class time where families can notify of a student absence to receive a make-up lesson for the absence. 




EXAMPLE

In the settings shown below, families must notify 30 minutes or more before a Class Start Time to receive a make-up for an absence (if the reason used gives a make-up). They can also notify up to the Class Start Time so that their attendance for the class is marked off in SimplySwim without you having to spend 5 minutes fielding a phone call. If they notify with less than 30 minutes notice, they will not receive a make-up regardless of the reason used.


In the example shown below, Jimmy had a class at 3:30pm and notified through the portal at 3:25pm that he could not attend. 

The customer view through the portal shows that a make-up will only be awarded with more than 30 minutes notice:


The Attendance screen in SimplySwim was automatically updated:


The Attendance section on the Student's screen shows that a make-up was blocked due to the time of notification:
