How to add an opening balance to a family account

You are just starting with SimplySwim and need to update some family account balances to be either in credit or debit. This article explains how to do this.


If you do not already have a Tender type for this, you need to create one:

1. From your Configuration screen, click on "Tenders.


2. Click on "Add Tender".


3. Enter a name for the tender - we suggest "From Previous System" or something similar. Put a sort order of 100 so it is at the bottom of your tender lists. Do not tick any of the receipt boxes. Enter an accounting code if you need this reported. Save.



Next step is to find your families. You can enter their name or contact details in your Quick Search Bar, or go to your Families screen and search from there.


For families who are in CREDIT:

1. From the Family Finance section, click on "Make a payment".

2. Select your payment date (date defaults to today's date so you can leave as is or change this).

3. Enter the amount as a positive: e.g. if a family is in credit by $50.00, then enter the amount as 50.00.

4. Select the "From Previous System" payment (tender) type. (NOTE: Tender types shown below may differ to your site depending on what tender types you are using or have added).

5. Click "Apply Payment".

6. Check all correct on the next screen and click "Process payment".

The family is now $50.00 in credit:



For families who are in DEBIT / OWING MONEY:

1. From the Family Finance section, click on "Make a payment".

2. Select your payment date (date defaults to today's date so you can leave as is or change this).

3. Enter the amount as a negative amount: e.g. if a family is owing $50.00, then enter the amount as -50.00.

4. Select the "From Previous System" payment (tender) type. (NOTE: Tender types shown below may differ to your site depending on what tender types you are using or have added).

5. Click "Apply Payment".

6. Check all correct on the next screen and click "Process payment".

The family is now showing as owing / in debit for $50.00:


You will need to repeat this for each family.
