Provider Specific Functions - how to check direct debit agreements

Modified on Tue, 11 Jul 2023 at 04:31 PM

This function is used to check the status of all your Payrix (formerly IntegraPay) Direct Debit Agreements that are Active in SimplySwim. (If they are Active in SimplySwim, this means they have been sent an eDDR form to complete.)

This list gives you the ability to see at a glance any families that may not have completed their form, or anyone who may have incorrect payment details. The list is interactive so that you can re-send their unique form to them via email or SMS (if enabled) from this screen, or you can even open up their agreement from here to fill out in person or over the phone.

To check the status of all family's eDDR forms, you need to:

1. Go to your Administration screen.

2. Click on "Direct Debit".

3. Click on "Provider Specific Functions".

4. Click on "Check Payrix status of all Active Direct Debit Agreements in SimplySwim".

The list is live so it may take a few moments to populate depending on the size of your centre and the number of families with a direct debit agreement. Just wait for the circle to stop spinning on your open browser tab.

Family names are shown on the left, these are interactive so can be clicked on to go to that Family's file.

"View eDDR" will bring up that family's unique eDDR form that can then be completed on the spot.

"Send SMS" or "Send E-mail" will re-send their unique form to them to complete or update details.

We recommend that you regularly check this list to manage your family eDDR agreements to make sure everyone issued a form has completed it or that there are no issues with their payment details (e.g. invalid card number, lost card etc).
