How To: Create or Edit a Teacher

This guide can be used when you need to create a new teacher or edit an existing teacher.

Before You Start

First time setup - the existing teacher "James Smith" can be edited to your own teacher's name.

How to Create a Teacher

1. Go to Configuration → Teachers.

2. Click "Add Teacher".

3. Enter the Teacher's name. Completion of remaining fields is optional.

Notes on fields:

Teacher names: are public, appearing to families in the customer portal and on enrolment notifications. Think about naming conventions and whether you want full names on display. No other teacher information is public.

SimplySwim User Profile: only needs to be selected if you are filtering the Attendance screen by teacher (i.e. you only want that teacher's classes displaying when they are logged in). If you are not filtering the Attendance screen, leave this as -- No User Selected --.

Teacher Qualification fields: can be added / removed at Configuration → Teacher Qualifications.

4. Click "Add Teacher" to save.

Repeat these steps to add in further teachers as required.

How to Edit a Teacher

1. Go to Configuration → Teachers.

2. Click on the required Teacher's name.

3. Edit the required information and click "Edit Teacher" to save any changes.

How to make a Teacher Active

Teachers are Active by default when they are created. To make an Inactive Teacher Active:

1. Go to Configuration → Teachers.

2. Click on the red ❌ next to that Teacher. It will change to a green tick, indicating their Active status ✅.

How to make a Teacher Inactive

1. Go to Configuration → Teachers.

2. Click on the green tick ✅ next to the Teacher (in the Active column). This will change to a red ❌ indicating they are now inactive.

Note: Inactive Teachers do not appear in any class creation or filtering functions. Only Inactive Teachers can be deleted.
