How To: Configure Class Assessment Levels

Overview

Class Assessment Levels need to be configured to create Classes and assign a skill level to a student. 


This guide can be used when you are first configuring your site or when creating additional Class Assessment Levels.

Before You Start

Your site comes pre-configured with some Class Assessment Levels that can be edited to suit your requirements.


If you imported your data including Levels, these will already be in your site. 


You can review these at Configuration → Class Assessment Levels. We recommend adding a sort order and activating the online settings.



How to Create Class Assessment Levels

1. Go to Configuration → Class Assessment Levels and click "Add Level".


2. Complete the fields and click "Add Level" to save. Each field is explained below if you need clarification.


As a minimum complete the Level Short and Long Names, sort order and select a colour for the level.


* denotes mandatory field.


Field

Response / Comment

Level Short Name *

Abbreviate the name of the level.

Short names appear on the student and invoicing.

Level Long Name *

Enter the name of the Level.

The long name appears on the Class Schedule, Attendance and in the portal.

Level Colour

Select a colour for the level. This will appear on your Schedule.

TIP: Pick colours that allow clear visibility of black text.

Show Attendance Stats in Portal

Ticked (recommended): shows attendance statistics for the past 90 days in the customer portal.


Not ticked: Attendance statistics do not display to families in the portal.

Certificate Layout 

Link this Level's configured Certificate.

Block Makeup Bookings for this Level

Ticked: Makeup bookings into any class of this level will be blocked for ALL.


Not ticked: Makeup bookings will be allowed into classes of this level with availability.

Exclude from Student Enrolment Notifications

Not ticked (recommended): student enrolment details will be displayed.


Ticked: any enrolments in this class level will not be displayed when using the %%CURRENTENROLMENTS%% merge fields in communications.

Sort Order (1- High / 100- Low) *

Place a sort order on the level.

Tip: Sort the levels in order of progression, lowest level to highest level.

Family Portal Settings


Block Families from Self check-in via the SimplyPortal app for this Level

Not ticked (recommended): students will be able to check-in via the app when configured on the Fee Calculation Template.


Ticked: students will be blocked from (not be able to) check-in via the app.

Allow New / Additional Enrolments for Students in this Level

Ticked (recommended): allows existing students to add new enrolments via the portal when configured.


Not ticked: does not allow students to add or create new enrolments.

New Enrolment Lead Time

Number of hours notice for a new enrolment created via the portal. 

Example: a setting of 72 would display first available classes for selection starting in 3 days.

Allow Enrolment Swap Class Within LevelTicked (recommended): allows students to change their class enrolment.

Not ticked: does not allow class enrolment changes.
Allow Enrolment CancellationTicked (recommended): allows cancellation of enrolments through the portal, in tandem with the next setting.

Not ticked: does not allow online cancellations.
Portal Cancel Notice DaysEnter the number of days' notice required for cancellation.
Mandatory Direct Debit Agreement
Require a Direct Debit AgreementTicked: families with students enrolled in this level will be required to have a Direct Debit Agreement.

Not ticked: families with students enrolled in this level will not be required to have a Direct Debit Agreement.



How to Edit Class Assessment Levels

1. Go to Configuration → Class Assessment Levels and click on the name of the level.


2. Edit the required fields and click "Modify Level" to save the changes.
