Modified on Mon, 19 Oct at 1:14 PM

Overview

Direct Debit Types are the kinds of direct debits offered to your families. One or multiple options can be created (e.g. Weekly, Fortnightly, Monthly).

Use this guide if additional Direct Debit Types need to be created after your initial Direct Debit configuration.

Setup Guide

TABLE OF CONTENTS

Before You Start

Your site must already be configured for Direct Debit. This requires an account to be created and approved with our third party payment provider, Worldpay for Platforms.

Contact Support if you require assistance in setting up your Worldpay account.

Support will configure your site for Direct Debit when the payment provider information is received. This will include Direct Debit Types.

How To Configure Direct Debit Types

1. Go to Configuration → Direct Debit Types.

2. Click "Add Direct Debit Type".

3. Enter a 'Direct Debit Type Name' (required) - this is for your information, not publicly displayed.

4. Select the 'Direct Debit Provider' (required). This is essential and cannot be changed once created.

NOTE: If there are no options in the dropdown, your site has not been configured for direct debit.

5. Select the 'Calculation Method' (required):

  • Lesson Value Calculation (RECOMMENDED) = the value of lessons in the direct debit date range.
  • Account Balance = the family account balance at the date of the direct debit (usually reserved for full calendar month direct debits).

6. Enter a 'Public Display Name' (required). This can be the same as the 'Direct Debit Type Name'. If more than one Direct Debit Type is offered, make sure these names are clear.

EXAMPLE: Weekly Direct Debit, Fortnightly Direct Debit.

7. Enter a 'Public Display Description' (optional).

EXAMPLE: Direct debits are run weekly on a Tuesday for the following week in advance.

8. Click "Save Direct Debit Type".

9. Click on the name of the Direct Debit Type.

10. Tick both boxes "Allow New Agreements to be created in the Family Portal" and "Allow Existing Agreements to be Updated in the Family Portal".

11. Click "Save Direct Debit Type".

Autopay can be enabled on Direct Debit Types to remove the manual process and automatically create, process, receipt and close recurring direct debits. For more information, refer to:
